Executive Assistant to the President and Secretary to the Board of Trustees
Overview
We are seeking an enthusiastic, self-directed problem-solver who can provide software and hardware service desk support for students and employees on Mary Baldwin University’s two campuses.
Reporting to the Office of Information Technology, Manager of Operations, this position supports client hardware and software for faculty, staff, and university-owned student use computers at Mary Baldwin University main campus as well as Murphy Deming College of Health Sciences campus. Technical Support Specialists receive, prioritize, document, and ultimately resolve end user technology related help requests.
Primary responsibilities will be, but not limited to, end-user support of hardware, software, printers, and other IT related equipment; scheduling and managing upgrades, resolving hardware and software issues; installation and maintenance of desktop and laptop software; providing walk-in, email, and telephone support, including off-hours support, and loaned equipment checkout and support management. The position also provides support for various campus-wide software such as Canvas learning management system. Strong written and verbal communication skills coupled with organizational and problem-solving skills are essential. Must be a team player with the ability to assist, provide direction, support, and guidance to others. Technical Support Specialists will help supervise, train, and mentor student employees.
This position requires 35 hours/week and is onsite. Performance of duties via home internet access and occasional weekend or evening shifts may be required.

Essential Duties and Responsibilities
- Maintain highest levels of confidentiality, quality work, and attention to detail.
- Provide administrative support to the President, ensuring efficient operation of the Office of the President, and creating and maintaining a professional and welcoming environment.
- Manage presidential calendar and logistics, including scheduling of committees/group meetings, coordination of invitations and logistics for events, and planning and supporting travel arrangements for the President.
- Assist in presidential presentations and event planning, provide background information, and ensure flow of information to and from the President.
- Receive and support guests, faculty, staff, students, and alumni, and route concerns/questions to appropriate offices.
- Manage budgets, submit and reconcile credit card expenses, and ensure invoices are paid promptly.
- Prepare communications to students, faculty, staff and Trustees.
- Manage, with President and Chief of Staff, specialized and confidential duties for the Board of Trustees, including assistance with communications, planning and preparation for meetings, research and preparation of materials, meeting site setup, preparation of official minutes, and oversight of Board software platform and files.
- Answer phone calls; schedule meetings; and develop itineraries and agendas.
- Other duties as assigned.
Qualifications
Three to five years of professional experience is required. Experience with technology, a range of office-related software, and ability to learn new technology needed. Strong organizational and project management skills. Efficient customer service and relationship building skills with guests. Ability to work independently, prioritize and advance projects in a fast-paced, deadline-focused environment. Self-motivator who can multitask, prioritize duties, meet deadlines, and is goal oriented. High level of energy with excellent oral and written communication skills. Strong work ethic with flexibility to work occasional evenings and weekends.
