Project Coordinator – Office of Integrated Communication
Overview
Mary Baldwin University’s Office of Integrated Communication (OIC) is seeking a Project Coordinator to assist our on-campus communication and marketing team with a variety of projects and events for the university. This vital role will contribute to our team’s goals by helping to keep projects on time, gathering important details from stakeholders, liaising with approved on-campus and off-campus vendors, and other duties as needed. The ideal candidate would pride themselves in efficient time management and clear communication.

Essential Duties and Responsibilities
Alongside their colleagues in the on-campus communication and marketing team, the Project Coordinator will assist in project coordination and support using office management software and helping keep current event promotion listings, the MBU website (hosted on WordPress), and other important digital documentations of the university. The Project Coordinator is expected to help the team manage multiple projects with adherence to timelines, organization, attention to detail, proactive planning, and detailed communication.
Reporting to the Director of Communication, the person in this role will thrive in a team-oriented environment through collaboration with other members of OIC and with campus partners. The Project Coordinator also:
- Tracks milestones for graphic design, videography, photography, writing, and web development projects.
- Communicates deadlines, responsibilities, and progress of projects with clients, supervisors, team members, and other stakeholders in a timely, clear, and ongoing basis.
- Serves as point person for clients throughout the project process and shares changes with all applicable team members.
- Maintains a project management system by communicating with users, routinely reviewing and updating various project timelines (with approval), and maintaining an orderly and effective system for project organization.
- Tracks engagement of marketing materials using bit.ly reporting systems.
- Creates a reporting system that includes a summary of projects and engagement data to be accessed by others as needed.
- Maintains relationships with key suppliers (i.e. printing, promotional items) to ensure deliverables are provided within their timelines and specifications and communicate this information to clients.
- Creates and manages content for the weekly, campus-wide announcements communication, and university-wide events calendar.
- Assists with special events or committees as opportunities arise.

Qualifications:
- Excellent written, verbal, and interpersonal communication skills.
- Strong attention to detail and accuracy.
- Bachelor’s degree in marketing, communication, journalism, or experience in a closely related field.
