Protocol for Calls or Visits by Government Agencies

 

Requests for Information

The United States government, through certain federal agencies (OSHA, FEMA, FBI, etc.), may attempt to contact university employees (via telephone, letter, or visit to campus) about a particular student, staff or faculty member. The purpose of the inquiry
could range from the routine (for example, a reference check for a job or confirming information as required to maintain immigration status) to the less common (international student, staff or faculty member allegedly involved in a criminal or national security matter). The protocol below is designed to assist employees in responding to such requests.

In all situations, stay calm, make a written summary of the interaction, and treat the issue confidentially and do not share details with others.

Phone Call Request

If you receive a telephone call from a government agency requesting information about you or another individual, stay calm and do the following:

  1. Inform the agent that MBU has protocols in place to make sure such inquiries are addressed, and assure them the request will be addressed in a timely manner.
  2. Ask for their name and telephone number, and let them know that you will have OIC call the agent.
  3. Call Liesel Nowak Crosier at 540-280-8702 to inform her about the telephone conversation and to provide any additional information/context.

Written Request

If you receive a written request from a government agency requesting information about you or another individual, stay calm and do the following:

  1. Call Liesel Nowak Crosier at 540-280-8702 to inform her about the written request and to provide them with any additional information/context.
  2. Send the written request by email (communicate@marybaldwin.edu) to OIC.

In-Person Visit

If you receive an unexpected visit from a government agency requesting information about you or another individual, stay calm and do the following:

  1. Inform the agent that MBU has protocols in place to make sure government inquiries are addressed, and assure them the request will be addressed in a timely manner.
  1. Typically, agents show photo identification. If not, ask to see photo identification.
  2. Inform the agent that, in accordance with University protocol, you cannot consent and will need to contact the University Government Liaison.
  3. Ask the agent to report to the Administration building, Fox Hall, 101 E. Frederick St.,
    Staunton VA 24401, while you contact the University Government Liaison.
  4. Contact MBU’s Government Liaison, Gen. Terry Djuric at 540-280-8704, indicating a government agent is at your office, and you need to speak with someone immediately.
