Administrative Assistant, Master of Science in Physician Assistant Program
Overview
Mary Baldwin University is currently inviting applications for the position of Administrative Assistant for the Master of Physician Assistant Program.
The Physician Assistant Program Administrative Assistant is an entry level position requiring professionalism and strong organizational skills. This position supports the needs of the PA Program faculty and students through software management, clerical support, data entry, and event/recruitment support as needed.

Essential Duties and Responsibilities
General
- Answering and routing incoming calls.
- Greeting visitors.
- Scheduling rooms for meetings/events.
- Assisting with event set up.
- Monitoring, ordering, and distributing office supplies.
- Posting student documents into OnBase student files.
- Distribution of mail.
- Other administrative duties as assigned.
MSPA Program Director and Program Support
- Taking meeting minutes and finalizing written draft for review.
- Preparation and completion of Independent Contractor / Honorarium files.
- Assisting program faculty with correspondence and scheduling of guest instructors.
- Supporting collection of pertinent data/information for self-study/accreditation and quality improvement as directed by program director.
- Ordering instructional/lab supplies.
- Support community events and outreach efforts
- Assist with and participate in program-related activities and events as appropriate and directed.
- Other duties as assigned.

Required Qualifications
- Professional presence with excellent interpersonal communication and written skills
- Demonstrated proficiency with Microsoft Office products, particularly Word and Excel.
- Ability to manage multiple tasks in a fast-paced environment with regular
interruptions. - Associate’s degree or any combination of education and experience that
illustrates the knowledge and skills to fulfill position responsibilities. - Ability to lift up to 40 pounds.
- Hold a valid Virginia driver’s license.
Preferred Qualifications
- Bachelor’s degree
- Experience with database management tools.
- Previous experience in a professional/office environment
Benefits and Other Information
The Administrative Assistant position is a full-time, non-exempt, position on the Murphy Deming College of Health Sciences Campus in Fishersville, VA. Occasional weekend and/or evening hours may be required during Commencement Weekend, Homecoming Weekend or other special events.
