Admissions Coordinator
Position Description
Mary Baldwin University invites applications for the position of Admissions Coordinator.
The Admissions Coordinator will coordinate all aspects of the admissions process for online and graduate programs (primary responsibility for programs outside of MDCHS) from initial inquiry, application, and acceptance, through matriculation, in collaboration with the Elsmere Education Enrollment Coaches, Program Admissions Liaisons, the Program Directors, and the AVP of Online Admissions & Marketing to meet enrollment goals for each program.
This position will utilize best practices for recruiting and admissions to accomplish objectives and goals and adhere to applicable processes, practices, and guidelines to serve prospective students, applicants, students, and colleagues effectively, accurately, and efficiently.
Essential Duties and Responsibilities:
CONNECTIONS/ COMMUNICATION
- Utilize warm, engaging personal relationship building to connect with prospective students, and in collaboration with the enrollment coaches, support applicants through the admissions process.
- Staffing the admissions “Welcome Center,” engaging with prospective students in-person, virtually, by phone/zoom, email, and other written documents (mailings, flyers, etc.)
- Collaborate with the enrollment coaches to troubleshoot applicant issues and resolve or escalate issues as appropriate.
- Cultivate relationships with key constituents to foster new and maintain key partnerships, including managing new and current articulation agreements.
- Provide ready access to accurate and current information regarding online and graduate programs.
- Assist with creating and executing the automated communication flow related to the application and matriculation process of programs, information sessions, and specific program promotions.
- Maintain applicant databases including CRM and CAS to ensure prompt process of applications and admissions decisions
- Manage the yield process post-admission and deposit to ensure recruitment objectives are met.
DATA/ REPORTS/ RECORDS
- Track and collect application and matriculation documents, including transcripts, and store and distribute all documents according to approved processes.
- Generate needed reports for accreditation.
- Maintain a dashboard for admissions cycle progress from application to matriculation utilizing data from multiple databases.
- Generate and disseminate periodic reports on admissions process data and collaborate with others on a data-informed process for admissions cycle planning.
EVENTS
- Plan, organize, and manage recruiting and admissions events to include in-person and virtual informational sessions and presentations.
- Assist with planning program orientation events.
- Arrange facility tours and student visit days.
- Collaborate with undergraduate admissions to coordinate student visit days virtually and in person.
- Attend local and regional graduate fairs, pre-health clubs, and other recruiting events.
ADMINISTRATION
- Collaboration with programs, Marketing, and OIC to coordinate and ensure accurate and up-to-date social media and web presence including timely updates.
- Data-informed management of the Recruiting and Admissions budget, including recruitment travel planning and maintenance of an inventory of recruiting and admissions materials, branded items, and giveaways.
- Ability to work independently and as a member of a professional team in a fast-paced work environment that demands creative problem-solving, attention to detail, flexibility, and adaptability while prioritizing simultaneous requests.
- Assist with orientation and onboarding activities for new students
- Collaborate with other offices on campus to ensure the successful transition of enrolled students
- General office duties as assigned
- Engage in practices that are consistent with the program/college image
- Ability to work with sensitive information and maintain confidentiality.
- Evening and weekend work are required as necessary for recruiting and admissions responsibilities.
- Participation in evening and weekend University, college, and program events as needed.
Required Qualifications
- Bachelor’s degree required
- Proven experience with Google Suite and Microsoft Office is required
- Customer Service focused with demonstrated strong interpersonal skills
- Must have strong verbal and written communication skills with the ability to communicate effectively with constituents of all levels.
- Must be able to lift up to 40 pounds
- Must hold a valid driver’s license
Preferred Qualifications
- Master’s degree preferred
- At least two years of experience in college admissions preferred
- Database/CRM management tools (Salesforce and/or Slate experience) are preferred.
