Director of Administration and Operations – MDCHS
Summary of Description
Murphy Deming College of Health Sciences (MDCHS) at Mary Baldwin University invites applications for the Director of Administration and Operations beginning no later than May 1st, 2024.
The Director of Administration and Operations provides oversight of the day-to-day operations of Murphy Deming College of Health Sciences including office management, human resources, budgeting/accounting, facilities, and campus events. The Director of Administration and Operations will promote a culture of “Service Excellence” in administration and operations and set a tone of leadership that is people-oriented, collaborative in nature as well as facilitating an environment that fosters innovation and continuous improvement.

Responsibilities
In collaboration with MDCHS administration, faculty, staff, the Director of Administration and Operations will:
Management
- Manage all day-to-day operations.
- Be a bridge-builder to the main MBU campus and serve as the primary liaison to Mary Baldwin University on-campus offices as follows: Accounting Services, Budgeting,Human Resources, and Safety and Security.
- Manage internal and external events held at MDCHS.
- Monitor management of office records and store archived files according to requirements.
- Develop solutions to improve current business processes and create efficiencies.
- Attend all meetings that involve all responsibilities described.
- The Director of Administration and Operations is a member of any committee whose function affects these responsibilities.
Human Resources Management
- Ensure compliance with all MBU/MDCHS human resources requirements from on-boarding to separation.
- Manage onboarding process for MDCHS faculty and staff.
- Conduct orientation program for new support staff.
- Create and maintain faculty and staff personnel records according to MBU/MDCHS and accreditation standards.
- Prepare and process faculty & adjunct contracts; monitor faculty contracts and advise VPHS of needed renewals.
- Train, coach and develop administrative support staff.
- Ensure workload of administrative support staff is equitably assigned and reassign work when necessary; may determine work priorities.
- Monitor and approve leave requests for staff & faculty; monitor & manage vacation calendars.
- Plan and coordinate staff development opportunities.
- Develop and facilitate Orientation for faculty & staff.
- Create & implement updated hiring/on-boarding automated processes.
Fiscal Administration
- Assist the VPHS and program directors with yearly budget preparations,
- Oversee financial performance against budget targets and provide monthly updates to the VP/Dean MDCHS
- Identify opportunities to improve fiscal and operational performance of MDCHS.
- Audit processed expenses for accuracy in GL account coding
Operations and Facilities
- Along with MDCHS Facilities staff, monitor conditions of the building and grounds; track projects and report progress to VP/Dean MDCHS
- Oversee the assignment of offices/workspaces.
- Monitor physical appearance and cleanliness of facilities and communicate needs to housekeeping staff
Security and Safety Services
- Administrate the S2 Security System for MDCHS.
- Determine lock/unlock times for external doors.
- Monitor Lost and Found policy to ensure compliance with main campus security policies.
- Create ID badges and monitor activation and deactivation of access.
- Work with main campus security director to plan emergency preparedness training for faculty, staff, and students.
- Ensure compliance with occupant maximums for internal spaces.
- Communicate with security office regarding security officer schedules during breaks and events.
Strategic Planning
- With the VP/Dean MDCHS to determine the addition of new administrative
support positions. - Project and anticipate personnel needs.
- Assist in planning renovation and relocation as related to expansion of MDCHS programs.
*Perform other duties as assigned by the Vice President of Health Sciences
Qualifications
- Bachelor’s degree
- Five years progressively responsible work experience in office and/or operational management
- Proficient with MS Office (Word, Excel, and PowerPoint) and database management tools; ability to write queries in a relational database is preferred.
Preferred Qualifications
- MBA or Masters in a related field
- Human Resources Experience
